Studio Admin Media Management Gets Sub-Account Support

Historically, Studio had been unaware of the sub-account structure in Canvas and therefore Admins managing sub-accounts did not have options to manage video content in courses tied to their sub-accounts in a central place. There was a similar limitation for root level Administrators after we released our new Admin Media Management solution in March, with all the filters we introduced for supporting media management across the entire institution, the very filter for sub-accounts was crying for its existence.

The solution will be familiar for you, we re-used the component from the Canvas Admin Analytics. However, please keep in mind that those sub-accounts where there are no courses with embedded Studio content will NOT appear in this dropdown. There needs to be at least one content embedded in the course to see it here. 

Another important point to highlight here is the relationship between a sub-account and a user from the perspective of the user’s added videos. The challenge is that a student or a teacher can be enrolled in courses across multiple sub-accounts, so it raises questions about user details (e.g. what storage they use) and the videos (e.g. when was it last viewed) associated with courses in those sub-accounts. Is that relevant data at all? During our discovery process, we found that cleaning up storage is usually not a common task for sub-account Admins. Therefore for the time being, when the sub-account filter is active (or when a sub-account Admin accesses the interface) we are not showing the Users tab. Additionally, for sub-account Admins, we limited the details under the Media tab with data that would be primarily used for storage cleanup purposes. This saved us significant time and it allows us to iterate with improvements based on early feedback from sub-account Admins.

There is one more crucially important thing to talk about. Certain times, sub-account Admins are actually root LMS Admins in reality, and therefore some limitations are unnecessary. For instance, that can happen when a district that has previously operated with multiple Canvas instances moves into sub-account hierarchy, resulting in one large Canvas account. Such Admins can get elevated access to Admin Media Management from root LMS Admins when by setting them Studio Admin in Sub-Accounts (the Users tab is still a limitation for these Admins, but it is on our radar to add it soon).

In addition to that, as a Studio Admin, you may have noticed that options to edit user details are moved to the Media Management interface from the Settings page.

We are now focusing on the new Studio Library modernization mentioned in the previous post and a few improvements will be rolling out iteratively in the following weeks. Then once they are completed, we are going to apply the new layout to everyone's own Studio Library! As an additional note, we are going to introduce an opt-in/out period of 3 months, so that you can all take your time to get used to the fresh and new look soon!
