Summary

When reviewing a product that has been requested, admin users are looking at a variety of complex ways to evaluate whether or not a product should be approved for use. As an example, an IT director may need to evaluate whether or not the technology tool will run on iPads, because those may be the only devices available in the K-2 classrooms. Many times there is a need to document this evaluation, through the form of a rubric, check list, etc, and share it with others.

With new custom forms, organizations can now capture and store detailed product reviews through the product vetting process. In addition to a thumbs rating recommendation and comments, detailed questions can now be sent to reviewers for a thorough review. Custom Forms will also be able to be assigned to stakeholders automatically with our upcoming summer feature, Workflows.

What’s New

In this LearnPlatform release (June 30), product reviews can now optionally include custom questions. After assigning a review, admins can change the form from System Default Review form to a custom form they have created. This will send custom questions to the reviewer in addition to the thumbs up/down recommendation.

Change Benefit

Organizations now have the ability to capture and store more product vetting details inside LearnPlatform.

  1. Custom Review Forms are created in Settings>Forms and are differentiated from Request Forms by a form type.

  2. Custom Review Forms allow organizations to ask the right, detailed questions of each stakeholders involved in the product vetting process.

  3. Customer Reviews are be assigned from Management>Reviews

  4. These reviews are completed by assignees in My Tasks.

  5. These completed reviews are visible by all LearnPlatform admins in Management>Product Requests>Reviews in a modal.

Creating the custom review form:

  1. Go to Settings>Forms. You will notice we have two default forms now - the System Default Request Form (this previously existed), and the new System Default Review Form (released earlier in June).

  2. Click the blue button: Form Builder.

  3. Name your new form (use Curriculum Team Review or another name of your choosing). Add a description, and make sure to select “Product Review Form” from the Form Type drop down.

  4. Begin adding questions to your form. You will notice that there is a Recommendation question that cannot be removed. This will maintain consistency across all reviews allowing for the thumbs rating to display and give guidance on an overall recommendation or non-recommendation. The consistency of this question helps admins to glean insights at a glance and decide where to expand for more details when reviewing completed forms (more on this later).

Assigning the custom review form:

  1. Sign in using your Admin account and see if any products have been requested by teachers. If yes, these display in Management>Requests. If not, request a product from the library, then come back to this step. Click on the requested product to be taken to the Request Details.

  2. From the actions menu in the top right, click Add Reviewer, or click on Pending Reviews.

  3. You may notice the Pending Reviews table has a new column - this gives admins the opportunity to change existing assigned requests to a custom form.

  4. Click the Add Reviewer button in the top right. This modal is unchanged and gives the ability to set up a reviewer with our standard (System default Review form).

  5. After you have assigned the reviewer, change the form on the pending review table to the custom form.

Viewing the completed review form:

  1. From Management>Requests, click on the product that was reviewed.

  2. Click on Completed Reviews

  3. Here all completed reviews will display, no matter the form. You will see the form name listed so it will be easy to see which form was completed, and you will also see the thumbs rating for each review.

4. To view the completed form, select View Form Response from the kabob menu.
