LearnPlatform Release Notes: February 2024 Recap

This month, we released additional functionality for the Request Workflows feature including AI-powered workflow summaries, and improved the Provider Application user experience.

Workflows Enhancements

Editing out all assignees marks step as ‘Skipped’

Previously in any request or evaluation workflow, when an assignee is removed the step would be marked as ‘complete’ and would progress on to the next step. Now, the step is marked as ‘skipped’, which means automations attached to this step are also skipped.

To support user transparency related to this update, when an administrator manually deletes the last assignee for a step, they are presented with a confirmation modal indicating no automations will be applied.

AI-Powered Workflow Summaries

Workflow Summaries are generated when a Workflow completes by feeding the form responses from the completed workflow(run) into a large language model, along with a prompt. The prompt instructs the large language model to summarize (in one to two sentences) why the decision was made on the particular product, and to leave out any student or educator Personal Identifying Information (PII).

Workflow Summaries generated are fully editable by administrators. AI-generated summaries that contain undesired information can also be reported, and then the summary will be hidden.

Opting-out: All admins are able to turn off automated AI workflow summaries in Settings > Workflows > create or edit Workflow. There is a checkbox to activate/deactivate. 

Data: The large language model used was created by AND is accessed via Amazon Web Services (AWS); there is no middleman or endpoint that isn’t AWS. AWS is where all of our data is stored for the app as well so these summaries don’t expose organizational data outside of LearnPlatform’s existing data systems.

Improved Provider Application User Experience

Administrators now have a better experience when building or editing Provider Applications. New templates with built-in versioning and an improved form builder UI will allow users to edit templates that have already received responses without affecting the submitted responses. No more duplicating applications just to update a question!

Forms are editable in Provider Applications or in Settings > Forms, and are filtered by Type.
